Introduction

CoastalLabs ("we," "our," or "us") makes TankSync, an aquarium management app for iPhone (the "App"). This Privacy Policy explains what information the App collects, where it is stored, who it is shared with, and the choices you have.

In short: your aquarium data lives on your device and in your own iCloud account. We do not run a server that stores it. If you use TankSync Pro's AI features, the data each feature needs is sent to our AI provider to generate a result. We use a small number of service providers for sign-in, subscriptions, analytics, and crash reporting, and we never sell your data or use it for advertising.

Information We Collect

Information You Provide

• Aquarium Data: Tank details, fish, plants, corals, and equipment (including any names or nicknames you give them), water parameter readings, cycling tests and notes, maintenance tasks, journal entries, and photos you add.
• Profile: The name and profile photo you enter in the App. These stay on your device.
• Support Requests: If you email us from the App, we receive your message, your email address, your App version, and whether you have TankSync Pro.

Information Collected Automatically

• Anonymous Identifier: On first launch, the App creates an anonymous account with Google Firebase. It has no email address, name, or password. We use it to link your subscription to your devices.
• Usage Analytics: Google Firebase Analytics automatically collects standard usage data, such as app opens, session length, screens viewed, device model, operating system and App version, and an approximate region derived from your IP address. We do not send your aquarium data to analytics.
• Crash and Error Reports: Firebase Crashlytics collects crash reports and some error reports (for example, sign-in, purchase, or data storage errors). These include technical details about your device and the App, but not your aquarium data.
• Purchase Information: When you subscribe, Apple processes the payment. RevenueCat, our subscription provider, receives your purchase and subscription status from Apple, linked to your anonymous identifier. We never see your payment details.

How We Use Your Information

• App Functionality: To provide tracking, reminders, charts, and other features of the App.
• AI Features: To generate insights, recommendations, chat answers, species identifications, and water test readings for TankSync Pro users (see AI Features).
• Subscriptions: To verify your subscription and restore purchases.
• App Improvement: To understand how the App is used and to fix crashes and bugs.
• Customer Support: To answer your questions.
• Legal Compliance: To comply with applicable laws.

Data Storage and Security

On Your Device and in iCloud

Your aquarium data and photos are stored on your device. If you are signed in to iCloud, TankSync syncs them across your devices using your private iCloud database. Apple stores and encrypts this data, and we cannot access it. We do not keep a copy of your aquarium data on our own servers.

Security Measures

• Data sent from the App is encrypted in transit.
• iCloud data is protected by Apple's encryption and security.
• We collect only what the App needs to work.

AI Features

TankSync Pro includes AI features powered by OpenAI models. The App sends requests over an encrypted connection to AIProxy, a service that protects our API keys and applies usage limits, which forwards them to OpenAI. Each request contains only the information that feature needs:

• AI Chat: Your question, your recent messages in the conversation, and a summary of your aquariums. The summary includes tank names, sizes, and types; fish, plants, and equipment with their names, nicknames, and brands; recent water readings and trends; cycling progress; recent maintenance; and short excerpts from your recent journal entries. Journal photos are not sent. Chat conversations are not saved.
• Insights, Forecasts, Tank Health, and Cycling Analysis: Tank name, type, and size; current and recent water parameter readings; the species and number of fish and plants; maintenance timing; cycling stage and dates; and any notes you add to cycling tests.
• Compatibility and Species Insights: Tank type and size, and the species, quantities, and care levels of your livestock and of the species you are checking.
• Species Identification: The photo you choose.
• Water Test Scanning: The photo you take of your test and your tank type.

Some Pro features, such as Home insights and tank health analysis, run automatically when you open the screens that show them. AI features are not available on the free plan.

What Is Not Sent

AI requests do not include your name, email address, location, or contacts. So that AIProxy can prevent abuse and enforce usage limits, each request includes an anonymous app identifier, an Apple DeviceCheck token, and basic device and App information such as device model, operating system, and App version.

Photos Sent for AI

Species identification and water test photos are sent only to generate that result. The App does not save these photos. Only the result you choose to keep, such as a species or your water readings, is saved to your aquarium.

How Our AI Providers Handle Data

OpenAI processes requests under its API terms, which state that API data is not used to train its models by default and may be retained for up to 30 days for abuse monitoring. AIProxy processes requests to route them and apply usage limits. See the OpenAI Privacy Policy and the AIProxy Privacy Policy.

On-Device Processing

Some processing happens entirely on your device. The photo quality check that runs before a water test scan uses Apple's Vision framework. On supported devices, the chat available to some free users uses Apple Intelligence on your device. Neither sends data to OpenAI. The App also stores recent AI responses on your device so it does not have to ask again.

Data Sharing and Disclosure

We do not sell your data, and we do not use it for advertising.

We share information only as described in this policy:

• Service Providers: Apple (iCloud sync and App Store purchases), Google Firebase (anonymous sign-in, analytics, and crash reporting), RevenueCat (subscription management), and AIProxy and OpenAI (AI features for Pro users).
• Legal Requirements: When required by law, court order, or government regulation.
• Business Transfer: In the event of a merger or acquisition, information we hold may be transferred as part of the business assets.
• Safety and Security: To protect the rights, property, or safety of CoastalLabs, our users, or others.

Device Permissions

• Camera and Photos: To add photos to your aquariums and journal, and to take or choose photos for species identification and water test scanning.
• Notifications: To send maintenance, care, and cycling reminders. These are scheduled on your device.

TankSync does not use your location or contacts, and does not track you across other companies' apps or websites.

Your Rights and Choices

• Access and Correction: You can view and edit all of your aquarium data in the App.
• Deletion: You can delete aquariums, photos, journal entries, and other records in the App. To remove everything, delete the App from your devices and delete TankSync's data from your iCloud storage in iOS Settings.
• iCloud Sync: You can turn off iCloud for TankSync in iOS Settings. Your data then stays only on that device.
• AI Features: AI features are available only with TankSync Pro. If you do not subscribe, your data is not sent to our AI providers.
• Permissions: You can allow or revoke camera, photo, and notification access at any time in iOS Settings.
• Other Requests: To ask about, or request deletion of, information held by our service providers, contact us at the address below.

Children's Privacy

TankSync is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately.

International Users

TankSync is operated from the United States. Our service providers may process your information in the United States and other countries.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the new policy on this page and update the "Last updated" date. For significant changes, we will also notify you in the App.
